Terms & Conditions
By booking UVFX services, you agree to these Terms & Conditions.
Services
UVFX provides professional event production including: Visual Jockey (VJ) services, motion graphics, concert visuals, Virtual Reality experiences, content creation, and virtual/hybrid event support.
Booking & Confirmation
Submit inquiry and consultation request
UVFX provides proposal within 24-48 hours
Sign service agreement
Submit 30% deposit to confirm booking
Receive written confirmation
Event date is only confirmed upon signed agreement and deposit payment.
Payment Terms
30% deposit upon agreement (non-refundable)
40% due 21 days before event
30% balance due 7 days before event
Late payments subject to 1.5% monthly interest
All prices in INR unless specified
Cancellation & Refunds
60+ days before event: Deposit non-refundable; may reschedule within 12 months
31-60 days: 50% of total amount is non-refundable
15-30 days: 75% of total amount is non-refundable
Less than 15 days: 100% of amount charged
Force Majeure: If event is cancelled due to circumstances beyond both parties' control (natural disaster, government lockdown), deposit is retained; other payments refunded within 30 days.
What UVFX Provides
Professional services as described in Service Agreement
Professional technical staff at event
Backup systems and contingency equipment
Regular communication via check-ins
Deliverables in agreed format and timeline
What You Provide
Accurate event details and venue information
Creative assets and brand guidelines timely
Access to venue and technical requirements
Day-of contact for coordination
Timely payments per schedule
Notify UVFX of changes immediately
Event Day
UVFX arrives 2-3 hours before event start
Full technical testing conducted
Services provided throughout event duration
Extended duration charged at [rate]/hour (verbal approval = authorization)
For outdoor events: UVFX not responsible for weather damage
Content & Intellectual Property
Raw event recordings are your property (if recording rights purchased)
Custom motion graphics created for you are your property upon final payment
UVFX may use footage for portfolio purposes (with permission)
UVFX retains copyright until final payment received
You responsible for obtaining music licensing rights
Liability & Limits
UVFX not liable for:
Indirect or consequential damages
Lost profits or business opportunity
Attendee injuries or accidents
Third-party claims
Maximum liability: Refund of payments received or cost to re-perform services, whichever is less.
You agree to indemnify UVFX from claims by third parties for personal injury, property damage, or contract breach by you.
Deliverables & Timeline
Standard deliverables: 4K footage, edited highlight reel (3-5 min), raw footage, photos
Delivery timeline: 5-7 business days post-event
Revision rounds: 2 included; additional revisions charged at [rate]/hour
Backup copies: UVFX retains files for 3 years; you responsible for your copies
Confidentiality
Both parties agree to keep confidential:
Proprietary methods and techniques
Event details and specifications
Financial terms and pricing
Unreleased products or announcements
Exception: Information required by law or public knowledge.
Modification & Termination
Changes to scope require written amendment
Additional costs for significant scope changes
UVFX may modify services to improve quality
Either party may terminate with 30 days written notice (prior to event), subject to cancellation fees
Dispute Resolution
Disputes not resolved informally go to binding arbitration in [City], India. Each party bears own costs unless arbitrator rules otherwise.
Entire Agreement
This Terms & Conditions, plus your signed Service Agreement and Proposal, constitute the entire agreement. Previous communications superseded.
General
Agreement valid for 14 days; prices subject to change after expiration
UVFX not liable for equipment failure if backup systems fail
International events: Client responsible for UVFX visa and travel documents
Client responsible for event liability insurance
UVFX maintains professional liability insurance
